Program Overview

Vanguard Resources operates an internal SMS (text-messaging) service used exclusively by authorized Vanguard employees, members of our Senior Leadership Team, the company owner, and a small number of pre-approved business contacts including our CEO’s professional executive coach. The service allows these individuals to submit meeting agenda items by text message to a single Vanguard-owned phone number. The system processes the submission and emails formatted meeting agendas to participants.

This is not a marketing program, a public service, or a consumer offering. There is no public sign-up. Anyone outside the authorized roster who texts the service number receives no response and their number is not added.

The total enrolled population is approximately fifteen individuals at any time.

How Enrollment Works (Verbal Opt-In)

Enrollment is conducted verbally, in person or by direct phone call, by Vanguard’s CEO. There is no website form, no public sign-up page, no automated enrollment process, no marketing-list ingestion, and no purchase flow that adds anyone to the service.

The CEO identifies a Vanguard employee, leadership member, or pre-approved business contact who needs meeting-coordination access.
The CEO contacts that individual in person at Vanguard’s office or by direct phone call.
The CEO recites the consent script below (or its substantive equivalent).
The CEO obtains the individual’s explicit verbal “yes” before any phone number is added to the system.
The CEO records the individual’s mobile phone number, full name, work email address, and the date of consent in Vanguard’s authorized-sender database.
The CEO sends a confirmation SMS from the service number reiterating that STOP opts the recipient out at any time.

Consent Script

The following script is spoken by Vanguard’s CEO at the time of enrollment. It is the exact substance of what every prospective recipient hears before any phone number is added.

“[Name], I’d like to add your mobile number to Vanguard’s internal SMS agenda service. Here’s exactly what that means:

You’ll be able to text agenda items to our Vanguard number any time.
You’ll receive automated SMS confirmations, command responses, and meeting agenda notifications.
Message frequency varies based on how often you submit items, generally a few messages per week.
Standard message and data rates from your mobile carrier may apply.
You can text STOP at any time to opt out, and HELP for the list of commands.
This is an internal Vanguard Resources service. We will not share your phone number with third parties.

Do I have your explicit consent to add your mobile number to the service?”

The CEO proceeds only if the recipient verbally answers “yes”. A “no” or any hesitation ends the request and no number is added.

Sample Messages You Will Receive

After enrollment, every message from the service follows one of these patterns:

Got it. Added to SLT. You have 3 open items there. Reply LIST to see them, or HELP for commands. Reply STOP to opt out.

Got it. Which agenda? 1. 1-2-1: Lettie Hawkins 2. SLT Reply with the number. Reply STOP to opt out.

Generating SLT agenda. The document will be emailed to participants in a moment. Reply HELP for commands. Reply STOP to opt out.

The service responds only when you initiate a message; it does not send unsolicited messages.

Required Disclosures

Message frequency. Varies based on how often you submit items. Generally a few messages per week. The service responds only when you initiate a message.

Message and data rates. Standard message and data rates from your mobile carrier may apply.

Third-party sharing. Vanguard does not share your mobile phone number with third parties. Your number is used solely to operate this internal service.

HELP and STOP. Reply HELP at any time for the command list. Reply STOP at any time to opt out — all messages stop immediately and your number is removed from the authorized senders list.

Supported Commands

(any topic text): Adds the text as a new agenda item on your current thread.
ISSUE: (text): Flags an item as an Issue Processing item (Senior Leadership Team meetings only).
LIST: Shows your open agenda items.
AGENDA: Generates and emails the formatted agenda document to meeting participants.
COVERED 1 3 5: Marks the listed items as covered after the meeting.
DELETE 2: Removes an item you submitted.
HELP: Shows the full command list.
STOP: Opts you out of all messages and removes your number from the service.

Stopping Messages

You may opt out of the service at any time by replying STOP to any message from the service. Your phone number is removed from the authorized senders list immediately and you will receive no further messages. You may also contact the program owner below to request immediate removal.
